Controller
Position Overview:
The Controller leads our accounting, reporting and cash management for each of our MHC and our two property management companies. The Controller will improve the systems, processes and digital tools needed for a robust financial control, accounting and reporting function which can be scaled to serve dozens of MHC and integrates seamlessly with the Company’s property management software, Rent Manager, and our investor’s accounting software, Yardi. The Controller supports bi-weekly payroll processing, monthly utility accounts, semi-annual property tax payments, and annual tax preparation, all of which are done by third parties.
In this critical position, the Controller will report to the CEO and work closely with the Company investor’s asset management and accounting teams. The position offers significant growth potential, with the possibility of advancing to senior financial leadership roles.
Responsibilities Include:
- Manage and improve accounting and cash management policies and procedures.
- Seek increased automation of repetitive reports and processes such as accounts payable and cash distributions. Assure the accounting and reporting platform (SaaS and IT) is scalable for rapid increase in the Company’s MHC portfolio.
- Policies and procedures should protect the Company’s assets from fraud and be readily auditable. Monitor bank accounts.
- Document all processes and procedures.
- Execute accurate and timely financial and operating reporting at the property level.
- Alert Regional Managers and Community Managers to any inconsistency, error or delay in onsite property accounting.
- Monthly, review utility payments by the Company’s third-party vendor.
- Monthly, prepare property-level operating and financial reports. Coordinate with operations team which provides variance explanations. Make adjusting journal entries in general ledgers to convert property-level financial statements from cash basis to GAAP accrual basis, (including for capital expenditures), and reconcile accounts with supporting schedules.
- Semi-annually or annually, pay property taxes for each property.
- Provide first-line response to financial reporting questions from the Company’s investors’ accountants and investment manager.
- Prepare corporate-level accounts and manage annual tax returns.
- Monthly, review schedule of cash financial transactions of the operating company to prepare actual to budget variance reports, (with variance explanation from the CEO); capital request calculation; general ledger; and GAAP accrual basis financial statements.
- Monthly, processes capital requests, (if needed), and capital distributions.
- Annually, supervise the preparation of 1099s and K-1s and other tax reporting, by the Company’s professional service providers.
- Annually, assist the preparation of the Company’s operating budget.
- Maintain the Company’s bank accounts.
- Monthly, perform bank reconciliations for each account.
- Weekly, pay property-related accounts payables, (preferably by ACH), as approved by operations team.
- Monthly, make wire transfers for mortgage payment(s) and capital distributions as needed.
- Certain responsibilities typical of a real estate investment company Controller position are not in this scope of work.
- Neither the Company nor the properties are audited.
- The Company is debt-free and most of the Company’s properties are debt-free. There are few debt payments and minimal lender reporting.
- Tax returns are almost entirely done by others.
- There is no annual impairment analysis or other internal valuation. Support may be required for the Company’s investor’s third-party quarterly appraisals of each community.
- No cash/investment management other than maintaining bank accounts.
- All payroll processing is managed by a third-party PEO.
- Property management leadership is responsible for the daily data entry of operating metrics and invoices at the property level.
- Property-level annual budgets are prepared by property management teams.
Tucson Community Manager
Position Overview:
Our Community Managers have an ownership attitude and are the leaders of their teams and custodians for their residents. You will manage the daily operations of two MHCs in a highly efficient and effective manner, to achieve full occupancy, full rent collection and careful cost control. You will set the standard for professional, dedicated and ethical leadership, improving long-term relationships with colleagues, vendors and residents with every interaction. This position requires dedication, ambition, sensitivity, urgency and flexibility.
This position is full time. Working hours are generally fixed, with changes approved in advance. Your availability to respond to emergencies is important.
Responsibilities Include:
- Effectively and efficiently manage recurring operations.
- Generate revenue by reviewing and distributing monthly tenant invoices. Persistently pursue delinquent rents and quickly process evictions as required. Discuss with Vice President, Property Performance any proposed deviation from the Company’s delinquency policy.
- Maintain community standards by inspecting the community regularly to identify maintenance rules violations. Notify tenants of violations and quickly pursue corrections.
- Provide exceptional service to residents by being available and responsive to inquiries and complaints. Create programs to enhance resident satisfaction and retention.
- Vigilantly observe the quality of life in the community and address any residents who violate community standards.
- Assure operations follow the standards described in the Company’s operating manual and Team Play Book.
- Identify, select and negotiate vendor service contracts. Provide clear work specifications to vendors and build trusting relationships to assure their dedication to your community. Supervise the performance of vendors. Review and process invoices daily, so the Company can pay them promptly. Order supplies needed for regular operations.
- Source vendors and specify scopes of work and monitor their performance.
- Prioritize daily work. Review work quality and timeliness.
- With the Vice President, Asset Maximization, monitor material capital improvements and major repairs to achieve quality work, on time and within budget.
- Manage the community’s operational and financial reporting.
- Accurately and timely enter data into Rent Manager and other Company software, to track community rent collection, operations and finances.
- Review in detail the community’s operating and financial reports to identify inconsistencies and identify operating issues which may cause budget variances.
- Discuss results and suggest opportunities for improvement with the Vice President, Property Performance.
- Lead monthly calls with the Vice President, Property Performance, to discuss the operations and financial results of each MHC. Explain material variances to budget on a line-item basis. Suggest areas for improvement and new initiatives.
- Manage marketing, advertising and deliver superb service to prospective tenants to achieve 100% occupancy and home sales goals.
- Understand the local housing market by reviewing availability and asking rents of apartments, single family rentals and visiting comparable MHCs.
- Meet Community Managers of comparable MHCs and local manufactured home dealers, sharing market intelligence. Conduct competitive market studies to propose rental rates and leasing strategies.
- Respond to potential tenants/home buyers with enthusiasm and candor, welcoming qualified prospects to site inspections and home tours, and converting them to on- tenants/buyers as quickly as possible.
- Guide potential tenants/home buyers through the application process, (including chattel loan applications, as appropriate), to drive conversion to tenants/buyers.
- Drive continued innovation and improvement in your community.
- Bring an “ownership” mentality to your business. Suggest opportunities for operational improvement. Identify near- and long-term opportunities for value enhancement, identify near-term risks and mitigation strategies, assess potential capital improvements for their highest impact.
